Successful Go-Live Dress Rehearsal for SJLinked

This weekend we successfully ran a dress rehearsal for our “go-live” of SJLinked, our electronic health record that will transform the way we provide care.

It will allow us to improve all aspects of care, creating a patient centered model that connects primary care, inpatient care and all our ancillary services.

This is not a small project and has taken 18 months of dedicated leadership by AnneMarie Czyz, MS, RN, our executive sponsor, and Chuck Fennell, our vice president and Chief Information Officer. An outstanding group of clinical and IT professionals from across our system is on their team, supported by a great partner in EPIC, the software company. So how did the rehearsal go?

More than 180 registration and scheduling staff from our primary care centers, registration and St. Joseph's Physicians offices migrated 20,000 appointments and 10,000 new registrations. This will allow registration to be live across the system for any appointment scheduled after May 1.

We also ran this week three complete patients through the system from beginning to end. Thank you Joe Bick for coordinating this effort proving that staff could successfully code and bill from beginning to end using information entered by staff throughout the hospital!

Were we a bit nervous? Yes. Did we find minor problems? Yes. Did we quickly get them resolved? Yes!

In other classrooms this weekend surgeons also learned the system, taking time on a nice Saturday to practice their skills in preparation for “go live.” We appreciate their support, as they will be key end users.

We have interviewed many hospitals, and observed a few “go lives.” We know from them that the secrets of success are personal preparation in advance, then lots of support those first weeks to resolve issues. We promise we have a great structure in place to ensure lots of help and support during “go live.” Superusers on the floor, a bank of experts in the DeFuria Room to solve issues, administrators and teams of trainers will fan out across the organization to hear your concerns and relay messages to the central core to solve those issues. We proved this weekend we can do it!
